Every use case below starts the same way. After the number is connected, you only add the module you need.

    Open the workspace

    Create an account and confirm the email. One workspace holds the WhatsApp number, the team, and the modules you turn on.

    Connect the number

    Paste your Meta Cloud API token, or have an operator connect it for you. The number stays on your WhatsApp account.

    Get messages approved

    A reply inside an open chat can be plain text. A confirmation, reminder, order update, or campaign outside that 24-hour window has to be a template Meta has approved.

    Invite the people who reply

    Staff open the inbox and bookings. Billing, the plan, and API keys stay with the owner.

People ask for a time on your site or in WhatsApp. The request shows on a calendar, and the team confirms it in the same chat.

How you set it up

  1. 1

    Create the form

    In Forms, name it, add the staff WhatsApp number, and start from the appointment questions. That gives you date, time, contact, and the accept, decline, and new-time actions.

  2. 2

    Submit the appointment pack

    In Templates, submit the booking pack: staff alert, confirmation, decline, new time, and the day-of reminder. New forms use those names, so they send as soon as Meta marks them approved.

  3. 3

    Put it where customers already are

    Paste the form script on the page where people book, or let the chatbot collect the same details in WhatsApp. A blank form is there when the request is not a booking.

    Work from the calendar

    Staff open Bookings and switch between today, this week, and this month. The status stays pending until the customer message actually sends.

What gets easier

How you set it up

  1. 1

    Connect the number

    Setup stores the Meta token for that number. The inbox is ready once the number is connected.

  2. 2

    Add the team

    From Team, invite the people who should reply. Their login opens the inbox and bookings, not billing or keys.

  3. 3

    Reply in one place

    New chats land in Inbox. Inside the 24-hour window you can write a normal message. After that, use an approved template.

What gets easier

    Set the timezone and switch the bot on. Leave it off while you are still writing the replies.

    Save the bot first, then add menu items and the questions you want answered automatically.

Website, WordPress, and Shopify

Put a chat button on the site you already have, and connect WordPress or Shopify to the same WhatsApp number.

How you set it up

  1. 1

    Allow the domain

    On Install, list the site domain. The chat button and the booking form only run on domains you allow.

  2. 2

    Embed the form or the button

    Copy the form script from the form, or the widget script from Install, and place it before the closing body tag.

  3. 3

    Connect the shop if you have one

    Shopify connects from Install. WordPress and WooCommerce use the plugin in plugins/wordpress/wa-connect. Order messages are set up under shop alerts.

What gets easier

  • ✓The booking form is one script tag from the form you created. It posts into the same calendar and WhatsApp thread.
  • ✓The chat button opens WhatsApp with the greeting you set, and can ask for a name before the chat starts.
  • ✓The script only runs on domains you list. Starter includes three. Pro does not cap them.
  • ✓WordPress uses the plugin and the [waconnect] shortcode. Shopify connects the store, then you turn the app embed on in the theme.

Shop order alerts

A new order, a status change, or a shipment sends the approved WhatsApp message without someone copying it by hand.

Fits Shopify and WooCommerce stores that already tell customers when an order moves.

How you set it up

  1. 1

    Submit the order pack

    Templates includes an order pack: order received, status update, and shipment. Wait until Meta shows them as approved, then sync.

  2. 2

    Connect the store

    Connect Shopify from Install, or install the WordPress plugin so WooCommerce can call WaConnect when an order changes.

  3. 3

    Check the notification rule

    Notifications lists each event and the template it sends. A rule is added when that event does not already have one.

What gets easier

  • ✓WooCommerce can message on a new order and on a status change.
  • ✓Shopify can message when an order is created and when it is fulfilled, including a tracking number.
  • ✓The order pack maps those events to templates, so you submit them once.
  • ✓Buyer questions still arrive in the shared inbox.

Campaigns

Send one approved message to everyone with a tag. People who opted out are left out.

Fits Offers, reopenings, reminders, and announcements that should not be typed one chat at a time.

How you set it up

  1. 1

    Create the template

    Write the message in Templates. Choose an image header when the campaign needs a picture, and upload a sample so Meta can review it.

  2. 2

    Wait for approval

    Sync after Meta approves it. A pending template cannot be sent.

  3. 3

    Send to a tag

    In Campaigns, pick the template, the tag, and the image people should see. The send uses that image for every contact on the list.

What gets easier

  • ✓The message is a template Meta has already approved, so it can go out after the 24-hour window.
  • ✓A template can include an image. The sample is for Meta’s review. The image on the campaign is what people receive.
  • ✓You pick a tag, such as Booked or Follow up, instead of exporting a spreadsheet.
  • ✓Contacts marked opted out are skipped.

Your own backend

When the shop plugins are not enough, your server sends the same approved templates through an API key or a custom event.

Fits Custom apps, booking engines, and CRMs that already know when something should be messaged.

How you set it up

  1. 1

    Create a secret key

    API keys issues a secret for your server and a publishable key for the website. Keep the secret off the site.

  2. 2

    Send from your code

    The Install page includes a Node sample that sends an approved template. Use the template name and language Meta already approved.

  3. 3

    Or post a custom event

    Notifications can listen for a custom API event and fill the template with the name, order, status, tracking number, or message you send.

What gets easier

  • ✓A secret API key and the Node SDK send a template to a phone number.
  • ✓A custom API event can trigger a notification rule, the same way a Shopify order does.
  • ✓The publishable key is only for the website button. It is not the key your server uses.

    On Pro, set the name, color, and logo. They replace WaConnect on the dashboard and the widget.

    Each number is its own workspace inside the account, with its own setup, inbox, and templates.
